Press Ganey has over 3,000 employees and 41.000 clients, managing over 70,000 projects annually across 100 countries. Erika Sparks, Director of Operations, Strategic Consulting, at Press Ganey, noted, “The team has very limited resources. It was constantly changing what the roles were and what they were going to be doing.”
When Lois Collins, Principal Consultant, joined Press Ganey, she found the existing systems were not scalable and were overwhelmed. She commented, “I felt like I just did not have a holistic view of my team, my work, my goals, or the outcomes I was driving to.”
One of Erika’s team members introduced her to Kantata as a time-tracking tool. As Collins explored the system and its training videos, she realised that it could do far more for her and her team.
At the same time, Sparks was seeing huge benefits from deploying additional functionality across the organisation. It delivered a far broader operational impact and is now the backbone of Press Ganey, helping to manage projects, people, and financial forecasting.
Onboarding a firm and an individual
What is novel about this case study is the recognition of onboarding. Most case studies focus on the implementation process for the new system. Press Ganey saw rapid changes to its processes, and it was also impressed by the Kantata team, which helped improve the value it gained from the solution.
Spakr noted, “Kantata is never happy with the status quo. And I love that because I feel like, as a customer, I’m getting so much more value than what I signed up for at the beginning of my contract year. They listen to their customers.”
For Collins, an experienced consultant who had previously used Microsoft Project, Trello, and spreadsheets to manage her responsibilities, the onboarding was rapid. She appreciates the simple, intuitive interface the platform provides and was rapidly seeing the value Kantata delivers.
She noted, “It was frustrating to realise there was software that would actually build a Gantt for me. I hate building them in Excel — it makes me want to say unkind things. Kantata is a great tool.”
Overall, the firm took two weeks to achieve full consultant adoption and productivity. Perhaps, more importantly, in 2 days, the manual Excel analysis was eliminated in favour of Kantata-generated reports.
The Benefits
Press Ganey called out three key benefits the new solution has given them.
- ~30 minutes to complete the first health report and build tasks during onboarding
- Real-time visibility across 160–225 active consulting projects
- Executive confidence in forecasting and project performance
Today, Kantata assists with forecasting, resourcing, health reporting, and executive visibility across hundreds of projects. Collins concluded, “I would totally recommend Kantata to other professional services teams. Kantata is a tool that really maximizes your teams, maximizes your productivity, claws back time for you, and not only do I recommend it internally to my colleagues, but I have a clear expectation for my teams.”
Enterprise Times: What does this mean
There aren’t many quantitative metrics in the case study. However, the key takeaway is that it proves that putting in a PSA, which was the first Collins had encountered, was a success for organisations that often consider whether to invest or not. A recent Kantata report investigating the cost of doing nothing is worth a review.
While Spreadsheets work, they rarely scale, are time-consuming, and prone to errors. At Press Ganey, Kantata has found a home for its solution, which both consultants and business leaders are benefiting from.
