Xero offers embedded AI at no extra cost
Customers can take a photo of their invoice or receipt, upload it to Xero. The AI will then automatically prepopulate fields in the relevant forms on the platform. This will make it far more efficient for small businesses to process purchase paperwork. Without investing in third-party software or Xero’s enhanced options.
The timing of this announcement is important. From April 6th, small businesses will need to start keeping records for income tax filing to HMRC. The first quarterly filing deadline is August 7th 2026. Any automation is likely to speed up the process for SMEs.
Entering data is one of the most time-consuming tasks for small business leaders. And Xero is aiming to help its customers through the transition period by accelerating data entry. So there is no last-minute panic before the submission is due.
In theory the quarterly update should make the process of filling tax returns as with regular submissions they and their accountants will avoid the end of year stress and workload that has historically occurred.
Business users will be able to upload images, and email documents into the system using a bespoke email address. They can even use drag and drop functionality to move receipts into Xero. The AI will then analyse the image and prepopulate the data in the expenses claim or invoice reducing the manual effort. Over the last few years advances in large language models and AI have meant that the accuracy of interpretation of receips has increased enormously.
Xero will be able to ingest the following information type in the initial rollout that will occur in the first two weeks of March.
The data will be ingested and interpreted in less than twenty seconds. While Xero has not committed to a level of accuracy for the ingested. It did state that the system will suggest transactions that appear on the bank feed. Thus, ensuring that bank reconciliations is also automated. Customers can review matches and approve them, again reducing the time spent on another manual process.
Kate Hayward, UK Managing Director at Xero said: “Many businesses are still trying to understand the requirements around Making Tax Digital, but with AI the good news with Xero is that data entry doesn’t have to be done manually anymore, and users can worry less about mistakes.
“Being able to simply snap and capture in seconds will allow businesses to stay on top of things much more easily. We’re pleased to be bringing this functionality to UK customers first, but we won’t be stopping there. More features will follow this year.”
These new capabilities will initially roll out to UK customers, it will then become available in other markets. Xero has also committed to added more AI-powered bookkeeping automation and insights within the platform. It did not state whether these future updates would be chargeable or included within the current subscriptions. Much one suspects will depend on the usage it sees from the new feature.
AI is changing the way that organisations work. For SMEs, especially leaders who struggle to afford the costs of finance administration and often work long hours to complete these mundane tasks, this is a welcome announcement. It will be interesting to see how easy the feature is to use and how accurate the OCR technology is.

The March release is the first set of capabilities that will be made available, initially in the UK, and then to other markets. And in the coming months, Xero will continue to introduce further AI-powered bookkeeping automation and insights capabilities directly within the platform, empowering customers to work smarter and more efficiently.
