Capita Accelerates Hiring with Workday AI
Workday announced the acquisition of HiredScore in February 2024. It has since completed the acquisition and integration of that platform. HiredScore is designed to streamline the hiring process with data-driven tools, smart action alerts, and an AI coach. Thus, empowering recruiters and hiring managers to hire faster and smarter.
Capita faced hiring challenges that AI and automation could help fix. With around 34,000 employees across eight countries and around 300,00 job applications received annually, the process was ripe for automation.
With Workday, increasingly embedding AI into its HR platform, Capita believed that Hired Score and Workday Assistant could alleviate the challenges faced. It aimed to move from an administratively heavy process to one automated by AI, enabling its recruiting teams to focus on higher-value work, such as employee engagement and strategic planning.
The implementation took only 3 months and was completed around April 225. At that time, Scott Hill, Chief People Officer at Capita, commented, “The implementation of the HiredScore AI software is the next exciting step in Capita’s partnership with Workday. Through the use of innovative AI, it is transforming how we bring top talent into our recruitment process, while providing the latest technologies to ensure fairness, transparency, and inclusion in our talent acquisition.”
The project also included embedding Workday Assistant directly into Microsoft Teams, the collaboration platform that employees use across Capita. Effectively, Workday Assistant acted as a digital advisor, enabling employees to access information quickly and automate many of their tasks. It meant that HR operations became streamlined.
Capita began measuring progress three months after going live to understand the solution’s ROI and impact. Six months later, it had results, and they were impressive.
Capita now has a single solution across the talent lifecycle, from workforce planning through the hiring process and onboarding. Workday Recruiting provided HR teams with a single transparent view. The integration with Teams enables a tighter collaboration between recruiters and hiring managers.
HiredScore AI for Recruiting is now used to automate screening for those thousands of CVs. It surfaces the best-fit candidates for roles, whether external or internal. It has allowed recruiters to spend more face-to-face time with candidates, enabling them to focus on the personal nature of recruiting.
This has resulted in a 43% reduction in time-to-hire over those six months. This has reduced the cost of hiring and, importantly, meant that Capita secures top talent faster. At the same time, the candidate experience has improved, with more time spent on personal touches. Recruiters are completing their administrative tasks 80% faster.

This is not the only application of Workday AI across the business, with Workday Assistant also helping employees complete common HR tasks, such as booking time off, 70-80% of the time without leaving Teams.

With the combination of HiredScore, Workday Assistant, Workday HR, and Teams, Capita has found a solution that has significantly improved its process. While reducing the amount of manual effort required during its recruiting process. Importantly, it has achieved this without additional people and expects the process to scale as it grows.
The outcome is impressive, with Hill noting the impact as “profound”. What is next for Capita on its Workday journey to success?
